Printer Cable Guide: USB vs Ethernet for Office Printing

Use a USB printer cable when one nearby computer controls one printer. Use Ethernet when the printer has a network port and several people or devices need stable shared access. The connector must match both ends: many printers use USB Type-B, while the computer end may be USB-A or USB-C. A cable cannot add networking to a printer that lacks an Ethernet interface.

Check the exact printer manual first. Some models provide USB only, some Ethernet only, and some both. Wi-Fi is another independent option and does not change which physical ports are present.

Identify Both USB Connectors

A common office-printer device port is the square USB Type-B connector. The host end may be USB-A on an older desktop or USB-C on a newer laptop. Choose an A-to-B or C-to-B cable that matches those physical ports; do not build a chain of unnecessary adapters.

Ethernet Supports a Shared Printer Role

Troubleshoot One Layer at a Time

  1. Confirm the printer is powered and reports no local hardware error.
  2. Check that the cable ends match the intended ports and are fully seated.
  3. For USB, try a known-good direct cable and another host port.
  4. For Ethernet, check link status, printer address and whether another device can reach it.
  5. Confirm the correct printer driver and queue on the computer.
  6. Change one variable at a time and record the result.
